Kahoot! 360 Engage: Onboarding
Onboard your trainers and learners with ease.
Kahoot! 360 Engage offers the possibility to use SSO provisioning - automatic synchronization of users. You can choose whether your workspace will be SSO-provisioned or not when starting your subscription.
- Log in to your admin or owner account.
- Click on the icon in the top right corner.
- Click Team settings.
- Click Invite users.
- Insert learners’ email addresses, import a CSV file, or generate a unique shareable link.
☝️ SSO-provisioned organizations are only able to onboard members via CSV file. - Click Send invite.

All the onboarded learners will have profiles assigned to them. Each profile will have a role assigned within the workspace.
- Owner - main account in charge of billing.
- Admin - manager of licenses and workspace settings.
- Member - trainer/presenter.
- Limited member - employee/learner.
☝️ A trainer (member) license is priced differently than a learner (limited member) license.
☝️ The owner and admins can change the roles within the workspace between a member and a limited member.
☝️ The functionalities and limits available to Kahoot! 360 Engage learners will differ depending on their role in the workspace.
In the SSO-provisioned organizations
☝️ The owner and admins of the workspace can manage the employee member profiles.
☝️ Members cannot edit or delete their profiles.
☝️ Members and admins in Kahoot! 360 Engage workspace will not have a private workspace available in their profiles. All the content will be stored and managed by the organization.
☝️ Members of Kahoot! 360 Engage workspace can join courses using SSO with which they were onboarded. It allows them to continue where they left off if they don’t finish a course.

Groups
Personalize the employee training experience by adding your learners to groups with content relevant specifically to them. Read more:

The content shared in groups will appear at the top of the Discover page for the groups’ members.
Live game hosts can share their sessions with the groups by clicking the share icon in the top right corner of the game lobby.
Courses
Create, assign, and track employee training with Kahoot! courses. Courses can include various media and content types, from quizzes and documents to videos and Kahoot! stories. With the Kahoot! 360 Engage plan you can share courses directly with groups.
Kahoot! stories is a revolutionary tool that allows you to present and deliver your content in an attractive and easily understandable manner. Regardless of what your content is about, you’ll find the right type of block to deliver your information in the story creator. Learn more: Kahoot! story: How to create.
Learners can take courses wherever they are using Kahoot! mobile app.

User tracking
SSO-provisioned workspace members and admins can enable the Require login option in the settings of live games, assignments, and course sessions (both live and assigned).
Kahoot! 360 Engage: Activity feed
Members of the Kahoot! 360 Engage workspace have access to the Activity feed in the Home section of their profiles. It shows all the activities in the groups they are members of.
Members can get inspired by their peers, celebrate their progress, and motivate others by reacting to an activity with a Like.
Kahoot! 360 Engage: Branded workspace
As an owner or admin of Kahoot! 360 Engage workspace you can brand the learning experience for your employees.
- Click the avatar icon in the top right corner of the screen.
- Click Branding.
- Customize your workspace:
- Add Organization name.
- Set the Brand color. It will be the color of the top banner in the platform and in the app for all the workspace members.
- Add the Logo.
☝️ It should be JPG or PNG format, up to 5 MB.
☝️ We recommend a logo that works on a white background.
☝️ The logo will be displayed in the top left corner for all the workspace members.
☝️ This logo will be used outside of kahoot sessions, for instance, in the navigation bar or on assignment cards.
☝️ To display your logo in kahoot sessions, add it in Themes settings in the kahoot creator. Read more: How to use themes. - Choose the Logo background. It can be white, transparent, or gray.
☝️ To ensure better visibility across the platform, we recommend choosing a dark grey background for bright logos, such as white or light blue.
- Click Save changes.

❓How can I subscribe to Kahoot! 360 Engage?
Visit Kahoot! 360 Engage page and click Contact sales. Fill in and submit the form. Someone from our team will get in touch with you.
❓Do I need to add all the learners to my Kahoot! 360 Engage workspace?
Yes. To benefit from the Kahoot! 360 Engage experience, all the employees need to be onboarded.
❓Can my learners use their existing Kahoot! accounts to join my Kahoot! 360 Engage workspace?
Yes.
To join the SSO-provisioned workspace they will have to move their content stored in the private workspace to the shared workspace.
❓Can my learners create, host, and assign their own games and courses?
Yes. Learners can become leaders by creating and assigning content. Note that learner (limited member) has different functionalities of their profile than the trainers (members) and admins.
Learners (limited members) can host and assign the content stored in the Team folders for up to 20 players and content stored in their Your folders section for up to 3 players.
❓Can I give different functionalities to members of my workspace?
Yes. Depending on whether the learner is set as a member, a limited member, or an admin they will have different functionalities.
❓ What are the player limits?
Trainers (members), admins, and the owner:
2000 players per live session.
10,000 players per self-paced session (assignment).
Learners (limited members):
20 players per session - games stored in the Team folders.
3 players per session - games stored in the Your folders section.
❓Can my learners create content outside of my Kahoot! 360 Engage workspace?
In the SSO-provisioned workspaces, the learners, trainers, and admins can only create and store content within the shared workspace.
In the not SSO-provisioned workspace, the learners, trainers, and admins can also use their private workspaces.
❓What’s the difference between Kahoot! 360 Spirit and Kahoot! 360 Engage offers?
Both of those offers cater to the needs of companies who seek to develop and enhance the company learning culture. Kahoot! 360 Engage is an immersive experience that allows for a higher level of branding, tracking, and experience management than other Kahoot! plans for businesses.
Members of Kahoot! 360 Engage workspace that is SSO-provisioned can store and create only in the shared workspace. There’s no private workspace available.
Thanks to SSO provisioning admins and owners of the Kahoot! 360 Engage workspace can manage the learner’s profiles.
❓Can I limit my learners to view content shared only in the Groups to which they were added?
Yes, limited members can only see the groups they were assigned to, or the ones they themselves have created.
❓Does mixed community feed show activities in all groups?
No, the activity feed shows only the updates relevant to the specific learner - activities from the groups they are added to.
❓What happens when an employee already has Kahoot! account associated with work email?
If your workspace is SSO-provisioned, employees joining with work email will get an invite informing them about the options to proceed and the fact that if they accept the invite the company will manage their account.
If your workspace is not SSO-provisioned, once an employee accepts the invite a new workspace will be created in their existing account. They will keep access to all the pre-existing workspaces.
