Motimate: How to prepare a CSV file for user upload?

CSV files can be used to upload user profiles to Motimate and create and assign Groups and Positions

Overview

One of the most important aspects of getting started with Motimate is registering users in the system, with the correct positions, and in the correct groups. Your initial user upload can be done by completing a CSV spreadsheet and sending it to support@motimateapp.com. The file should be sent as a secure link and not as an attachment to the email. 

You can then easily manage users in your MotiSpace account.

If you wish to upload the users directly and update user data in bulk on a regular basis, you can do this using an sFTP file transfer. You can read more about that here (link to article). 

This can be automated by your IT team. Alternatively, we can set up this automation for you (this is a paid service, please contact support@motimateapp.com for more information).

This article explains the information we need in the spreadsheet in order to create Users, Positions, and Groups in Motimate. 

The prerequisites for being able to log in and use Motimate services are:

1. The employee is a user in Motimate
2. The user belongs to a certain set of groups based on what department and role the employee has.

The employees' user accounts need to be imported into Motimate before they can log in to Motimate.

File content specifications

The CSV file contains all the required user and group membership information for all employees that will have access to Motimate. 

When Motimate receives the new file we grant access based on the information in the new file. If a new user account is added, it will be added to Motimate. Motimate will also update existing user information and the user's group memberships according to the file. 

This import method can be combined with manual account management. Users and groups that are imported are marked as imported in your MotiSpace settings. Please note that when we manually import the file for you, users will not be removed from Motimate if they have been removed from the file. However, if you choose to import users using SFTP, users will be deactivated in Motimate if they have been removed from the file.
