What is the difference between a Group and a Workspace?
Workspace is a great way to manage content at scale. A team can organize content into shared folders and collaborate on the same kahoots. Workspace members have to have a license of the same subscription assigned to their accounts.
To gain access to a shared team workspace where you can collaborate, you need to purchase a plan with multiple licenses and invite other team members. Alternatively, you can be invited to someone else's shared team workspace as a member.
Groups are perfect for users who want to maintain autonomy but also want to share a curated list of kahoots with just a few people. Group members don't have to be part of your team.
| Feature | Workspace | Groups |
| User Access |
The owner is responsible financially for the members’ subscriptions. The owner and admins can invite and remove members. |
Admin does not have to be responsible financially for the member's subscription. Admin can invite and remove members from a group. |
| Kahoot games | All kahoots in the Workspace are managed by the Workspace. | Each group member has autonomy over their own kahoots. |
| Editing a kahoot | Owner, admins, and kahoot creator can lock kahoots to prevent editing by other members. Otherwise, all members can edit kahoots in a Workspace. |
If the group was created in a personal workspace, members will be asked to duplicate the kahoot before editing. If the group was created in a shared team workspace and the member is part of the same shared team workspace, they won't be required to duplicate the kahoot before editing. |
| Kahoot Libraries | Members in a Workspace create one centralized library of content. | Members build curated banks of content that are targeted to specific use cases and individuals on a per-group basis. |
| Library Access | Every member can access all content in a shared team workspace. | Users that are not members of a group can view the group's content only if the group is located in a shared team workspace that the user is a member of. |
| Folders | Kahoots can be organized in folders. | No folder functionality. |
| Reporting | Members share game reports, so learning progress is tracked across the team. | Member game report access is not shared. |
